A record for each review

The next CSV should not erase the last count.

Save up to ten named count copies with their location, period, physical count cutoff, source snapshot time, source descriptions and review notes. Each copy preserves entered movements and its calculated differences.

Three times, three meanings

The source snapshot time describes when your source quantities applied. The physical count cutoff describes the count you entered. The save timestamp records when this browser created a copy. Enter dates and timezones clearly: a save timestamp does not freeze your stock system or prove that counts happened together.

Save a copy, then save your work

Saving a count copy adds it to memory. Use Save in browser or Download full backup to retain the collection. Importing another CSV replaces only the current rows; earlier saved copies remain. Review the current context after importing, because a new file may describe another location, period or quantity state.

Revise deliberately

Edit a working copy replaces the active worksheet with the saved historical quantities and context. It is not a new physical count. Make your corrections, name the revision clearly and save another copy. The previous copy remains unchanged until you remove it. Copies are not a tamper-proof or shared audit log.

Keep quantities comparable

Use one location, cutoff and consistent unit per product. A missing or uncounted quantity is not zero: enter an actual zero only when that quantity is known to be none. Blank inputs must be completed before saving. No totals or period comparisons infer compatible units or missing products.

Portable backups

Full version-2 backups contain the active worksheet, up to ten saved copies and all source descriptions and notes, within 3 MB. Older version-1 worksheet backups migrate with empty context and no saved copies. Older BatchTrace versions reject the newer full backup. A reviewed text export includes the chosen copy’s notes and context: inspect it before sharing.

How this fits alongside inventory software

Count history is established functionality. Sortly documents named stock counts, review stages, cloning and completed-count exports. Katana documents location-specific stocktakes and inventory adjustments on completion. Craftybase describes material stocktaking with discrepancy adjustments.
